School Year Management

Set the active school year for all survey data. All data saved by districts will be tagged with this school year.

School Year Rollover Process

When you change the school year:
• All district data is copied to the new year
• All completion statuses reset to "incomplete"
• Districts see their previous year's data pre-filled
• They only need to update what changed

Only change this when starting a new survey cycle (typically August).

When you close the survey, districts will no longer be able to edit their data. Data is already in Google Sheets — each district's submissions are saved automatically as they work.

Section Usage Questions

When enabled, two questions appear at the bottom of each survey section asking districts whether they use the data collected. Active for 2026-27 only. Data writes to the usage questions sheet when the school year is changed.

Clear Test District Data

Clears all survey data entered under the test district code (999999999) from this browser. Use this after manual testing to remove real district data entered for testing purposes. Does not affect any other district data.

Refresh District Cache

Force-refresh the Firestore cache for all districts. Use this after editing Google Sheets data, fixing code, or changing survey year. Each district's cached data will be rebuilt from the live Google Sheets.

This reads all 14 sheets per district, so it takes about 60 seconds per district. The full refresh may take 30-45 minutes.
